Policies & Terms

1. Fee Policy

Tuition fees are determined by the child's age group and the payment plan selected by the parent. Registration and admission fees are considered administrative fees and are non-refundable.

Withdrawal Before Start of Term

If a child is withdrawn before the start of the term, or before the start of the month in the case of monthly payment, all paid fees are refunded excluding registration fees.

Withdrawal During Term (Quarterly/Annual)

• Withdrawal during the 1st month: 60% refund
• Withdrawal during the 2nd month: 40% refund
• Withdrawal after mid-term: no refund

Withdrawal During the Month (Monthly Payment)

• Withdrawal during the 1st week of the month: 60% refund of monthly fee
• Withdrawal during the 2nd week: 40% refund of monthly fee
• Withdrawal after the 2nd week: no refund for that month

Absence

• No partial refunds are issued for absences due to travel or illness, but with possibility of fee suspension if absence exceeds one full month with an approved medical report.
• Absence due to illness or travel does not entitle the parent to refund of monthly fees.
• In case of an approved medical report for absence exceeding two weeks, fees may be carried forward to the next month instead of being refunded.

Force Majeure

In case of closure due to extraordinary circumstances (e.g., epidemics or government decisions), parents are compensated through:

• Extension of the study period, or
• A percentage discount on next term's fees or upcoming monthly fees.

The nursery uses an electronic financial system for billing and collection. Invoices are sent via email, and electronic payment is available for parents' convenience.

2. Photo and Video Policy

The nursery is committed to documenting educational and recreational activities and events in which children participate, supporting the educational process and enhancing communication with parents.

Photos and videos may be taken of children during daily activities, events, and various occasions within the nursery.

Photos and videos may be used for the following purposes:

• Documenting educational activities and events.
• Preparing portfolio files and educational reports.
• Display within the nursery's facilities.
• Sharing activities with parents.
• The nursery's official website.
• The nursery's official social media accounts.
• Promotional and marketing materials of the nursery.

The nursery is committed to using all photos and videos in a professional and responsible manner, while respecting the privacy and safety of children, in accordance with the regulations applicable in the United Arab Emirates.

Right to Object: Parents have the right to request that their child's photos not be used for marketing purposes or social media. This must be submitted in writing to the nursery administration and will be respected immediately.

3. Health & Safety Policy

• The nursery maintains the highest standards of cleanliness and sanitizes classrooms and toys daily.
• Children showing symptoms of contagious illness (fever, respiratory infection, skin rash, etc.) are not admitted.
• Parents must inform the nursery of any food allergies, drug allergies, or pre-existing medical conditions.
• All medications administered to children within the nursery are documented and given only with a medical prescription and parental authorization.
• In case of medical emergency, parents are notified immediately and the child is transported to the nearest hospital if necessary.

4. Attendance & Pickup Policy

• Official hours: Monday to Friday, 7:00 AM to 2:00 PM.
• Extended hours available from 2:00 PM to 6:00 PM for additional fees.
• Children are handed over to and picked up by parents or authorized persons (in writing) only, with valid identification.
• Late pickup will result in additional extended hours charges.

5. Transport & Bus Tracking Policy

• Transport is optional, with additional fees covering both ways.
• Transport service covers all areas of Ajman: Almouhat, Al Rawda, Al Tallah, Al Zahia, Al Aaliah, Al Yasmin, Al Bahia, Al Zorah, Al Hamidiya, Al Nuaimiya, Al Rumailah, Corniche, and others.
• Live GPS tracking of the bus is available free of charge through the parent app for real-time location and estimated arrival time.
• Instant notifications when the child boards and alights from the bus.
• Each bus is equipped with a certified supervisor in addition to the driver.

6. Privacy & Data Protection Policy

• The nursery is committed to protecting all data of children and parents in accordance with UAE personal data protection laws.
• No personal data is shared with external parties without written parental consent.
• Medical and educational records are stored in a secure electronic system powered by Lumino.
• Parents have the right to request a copy of their child's data or have it deleted upon withdrawal from the nursery (subject to legal retention periods).

7. Behaviour & Discipline Policy

• The nursery adopts a positive approach to dealing with children's behaviour, based on guidance and positive reinforcement.
• No form of physical or verbal punishment is permitted.
• If a behavior requires special follow-up, parents are contacted and a joint support plan is created.

8. Uniform Policy

• All children must wear the official nursery uniform on official days.
• The official uniform is included in the annual registration fees.
• Sports uniform is worn on designated days for sports activities.

9. Communication with Parents

• Official communication channels: WhatsApp, email, and the Lu-mino Parent App.
• Daily reports via the app include photos, meals, sleep, and activities.
• Monthly and termly written progress reports.
• Periodic parent meetings, and emergency meetings on request.
